The Vehicle Stock Book for Accountants - Flipbook - Page 60
STEP 3
The Estimated Cost of the option is the maximum that can be invoiced by Point of Sale if the
work is to be done by them (lines with a 8W9 Source code). If they need to charge more the
Estimated cost will need to be changed and the vehicle stock record saved.
Postings with a P or S source code are processed from the Purchase and Sales ledgers and
these postings can be more than the Estimated cost.
Any differences between the Estimated cost and the Actual cost will need to be sorted out on a
regular basis. A report is available, Estimated vs Actual Costs which needs to be run on a
regular basis so that any differences are highlighted and investigated.
STEP 4
Changes can be made to the Source code, Estimated cost and the Description of the option.
To make a change right click on the relevant line (only after the line is in the right hand column,
this will not work if it has not yet been selected onto the vehicle) and click Amend / Display
Line.
The Analysis Code (which determines the accounts postings for the cost of the line) cannot be
changed so make sure a line with the correct Analysis code is being used before making any
other changes.
The Estimated cost can now be changed by clicking into the field and putting in the new value.
The Source of data can also be changed if necessary.
Other Source code options are:
•
•
•
•
•
P – Purchase Ledger
S – Sales Ledger
O – Outside Purchase
D – Discount
F – Factory
Note – The Actual Cost is shown in green in the window above (which means it can be
changed) but this should be in red on most 8operator9 log ins. This field must not be edited
unless instructed to do so by an Autoline Consultant or the Autoline Help Desk.
