The Vehicle Stock Book for Accountants - Flipbook - Page 33
STEP 4
The Identity tab will pick up information from Franchise Data linked to the variant selected on
the Definition tab.
Although the vehicle description can be amended on this tab simply by overwriting it is
recommended that only small changes should be made. Changes to a spelling mistake can be
made but Franchise Data will also need correcting. If the vehicle description is completely
wrong go back to the Definition tab and select the correct vehicle as the postings to the
accounts might otherwise be incorrect.
Changes to the Definition tab can be made after the vehicle statuses have moved on from M –
Memorandum. To make a change to the Definition tab after the vehicle status has moved on
from M – Memorandum, change the statuses back to M – Memorandum, save the record and
then put it Amend (edit) mode and make the necessary adjustments.
The Colour and Trim and vehicle CC9s are required before the Main invoice can be produced
and the Co2 emissions can be used to automatically calculate the Vehicle Excise Duty (RFL)
costs.
Change the Progress code and A/c status to O - Ordered.
The Progress code is used mainly for determining the status of the vehicle for the standard
reports while the A/c status is used to drive the accounts postings of the vehicle.
Other statuses can be used in the Progress code field at this stage such as 8R - Reserved9 if
the vehicle has been ordered for a particular customer. More details about reserving vehicles
for customers can be found in the process 06.001.03 L1 Reserving a Vehicle for a Customer
The Physical Location field is a mandatory field before the record can be saved.
Complete all other relevant information as required. Refer to the Autoline Help files for detailed
information of the fields.
