Heading
Description
Row
This is simply a line number identifying the position on the table.
Field Name
Every monetary value on a vehicle record has a field name. These fields can be
accessed through the Master Posting Tables and added to the table with the
required details for the nominal postings.
Oc (Occurrence)
Where a field name has more than one occurrence, it is necessary to specify
which occurrence this line relates to. This links back directly to the Analysis Codes
and is a numeric reference for the single alpha character used (for the majority of
codes) as the analysis code. The Non-recoverable costs now contain four
additional analysis codes which are numeric - 1 to 4.
RECOCOST relates to the recoverable costs – A = 1 through to O = 15.
COSTS
relates to the non recoverable costs – P = 1 through to 4 = 15.
NRCOST
1 to 3 - relates to the three potential headings on the Purchase Brief
page of Vehicle Administration.
Date Field
This date will determine the nominal period to be updated by the vehicle posting.
The date required for the posting may be selected from a drop down list.
Oc (Occurrence)
This provides the potential to specify an occurrence for the previous date field.
This is not currently used.
S - Status
This is the Accounts Status at which the posting is to be made.
T – Type
This is used to identify whether the posting is to a Balance Sheet or Profit & Loss
Account.
Debit / Credit
Mne
This is the account to be debited or credited, represented by a mnemonic code.
This code will be translated into a nominal ledger account using the Detailed
Posting Table. Mnemonic codes may be created to cater for additional postings if
required. This means that the system is extremely flexible and can be set up to
meet many different posting requirements.
R (Overlay)
Where Locations are in use, the posting may be determined by a location overlay.
This will add a value, held in the Location file, to the Cost Centre and/or Expense
Code specified in the Detailed Posting table, to achieve location postings.
Postings may be determined by:
P - Physical Location
B - Buying Location
S - Selling Location
N – No Location
Suffix Field
This is where the suffix that will post to the nominal account is specified. A drop
down list provides the full range of codes available. This is usually set to the
vehicle stock number for the majority of postings.
Note: It is not a regular requirement to change the Master Posting Tables, although there are occasions when a
change is required (such as changes in analysis for manufacturer reporting). It may be pertinent to enlist the
assistance of a ADP Consultant for such modifications.
Under no circumstances should changes to the Master Posting Tables be made when any users (including the
Vehicles module) are on the system or any background processes are active.
