STEP 3
All accounts matching the search criteria will be listed in the results page.
Click on the required account then click on the 8OK9 button (or double click on the
required line). The prompt displayed below gives a choice regarding which details will
appear in the Customer name & address box on the WIP.
Selecting 8Yes9 will replace the existing customer details with the account details.
Selecting 8No9 will leave the customer details box unchanged. In a service environment
it is more common to say No.
STEP 4
Some accounts may be set up where the quoting of an order number is mandatory.
Should the selected account be on of these, the WIP header will automatically display
the 8Order9 tab and a warning displayed.
If the order number isn9t known at this stage it may be left blank. However, at the
invoicing stage, the order number box will be displayed and at this stage the order
number must be supplied or the invoice cannot be produced.
STEP 5
Now the account is loaded to the WIP. If the account is a genuine credit account (as
opposed to internal or cash), it is good practice to check the amount of credit left on
the account. Look at the 8Available credit9 box to see how much is left.
If the amount will be insufficient to cover the work being done, steps can be taken to
resolve the situation prior to the work starting. This can reduce the risk of potential
difficulties when the customer returns for the vehicle.
