STEP
PROCESS
STEP 1
As the original WIP is not available, ensure that you start from a blank WIP screen,
and create a new WIP using the vehicle, customer and sales ledger account that the
original invoice was raised against.
STEP 2
Load the RTS codes as invoiced on the original job, however on the Labour details
screen ensure that the Time Allowed and Time Taken are both NEGATIVE figures, but
with the same time as the original job.
For example if the original time allowed was 2 hours (2.00), then the manual credit
note time allowed is minus 2 hours (-2.00). It is important that both the allowed and
taken times are both minus figures.
A technician number must also be recorded; it is possible to have a dummy technician
number created for this purpose.
Note: It is essential to check the values as the labour rate may have changed since
the original invoice was created. Check also if any discount was applied to the original
line. Remember, this WIP needs to be a mirror image of the original.
Once the labour line is completed, click 8OK9. A warning message will display
indicating that the line has a negative margin as we have produced negative values.
The ability to 8Continue9 is priority controlled so low level users may need to seek
assistance to proceed.
This process is continued until all the labour lines have been set up. Remember, the
parts department will also need to load the parts to this WIP, ensuring that the prices
and discounts are the same as the original invoice.
