Receive
With this option, it is possible to receive the individual items as long as
all of the relevant information exists on the transaction line.
When you have selected the Receive action, double click the line to be
received. If the request is refused, then re-select the Edit option and
ensure that all the relevant information exists - including a cost price and
a bin location. Once you have made the changes, you can Receive the
line again.
In the transaction line edit window, it is now possible to enter the
information pertinent to this receipt. Enter the GRN information, which is
the supplier documentation reference number, (advice or delivery note
number or perhaps an invoice number). The GRN sequence is the order
in which the lines appear within the suppliers GRN and is normally
maintained by the system. The GRN date will normally default to today.
Enter the receipt quantity and where this is less than the order quantity,
the system will calculate the number of pieces outstanding.
If these outstanding items are to be maintained on order, the system will
create another order line - essentially a copy of the original line but with
the quantity changed. If the outstanding pieces are not to be maintained
on this order, change the To follow quantity to zero.
It is possible at this time to edit the pricing information on the part as well
as the bin location should this be necessary.
When all the receipt information is complete, click the Receipt button
which will update the order lines and change the status to R.
If subsequent lines from the same order are to be received in this way, it
will be seen that the GRN number and sequence have been inserted by
the system to save unnecessary operator input.
The action of receiving a part into stock will result in the stock quantity,
the purchase details, the latest cost, the average cost and the Audi/GIS
fields in the stock record being updated.
