Each of the Action options is described below:
Option
Description
Edit
Taking the Edit option will allow the editing of certain individual fields
depending on how the line was created, what action has already taken
place on the line and at what status the line is.
If the order was created through Point-of-Sale and an order number has
not yet been attached or allocated to the line, then it is possible to
change the supplier code for example, but if an order is already attached
to an order number then it is not possible to change the supplier.
To edit the individual line, first select the Edit button in the action area
and then double click the required line (or right click on the right hand
end of the line). This will invoke an edit window headed Purchase
transaction in which it will be noticed that several fields may be greyed
out and are therefore not available for editing as mentioned earlier.
If any changes are made to the editable fields, the screen should be
closed using the Save button which will then return the operator to the
main screen. If the changes are not to be retained, then the Cancel
button may be used to return to the main screen.
Type
By selecting this button, and then further selecting one of the valid order
types in the drop down window alongside, any line which is double
clicked will have its order type changed to the selected order type. You
will only be able to do this if the line has not yet been attached to an
order header.
Attach
This option makes the system check and assess whether the selected
order line may be attached to an existing order header or whether a new
order must be created for the line.
When this action is chosen and a line selected, a window will be opened
which will give up the three options. These are;
Leave which will exit the process.
New which will create a new order number (the next one in the
sequence) and attach it to this line.
Add to order number XXXX This choice will only be offered under
specific circumstances. It is only possible to add a line to an existing
order if the order is still open, is of the same order type and to the same
supplier as the current line.
The operator should select the appropriate option from the window, and
the order line will be updated accordingly.
