14. Intercompany Stock Transfers
If you operate in an environment with more than one stock company, the daemon will behave in
the same manner as for a single company but will also be responsible for the transferring of
parts between companies. Specific Sales and Purchase ledger accounts must be created to
handle all transfers. These should be set up by the accountant under guidance from a ADP
consultant. These accounts should be entered into the Depot file for each stock company.
The Inter Company Transfers are designed to be used in a customer order situation rather than
as a method of supplying stock between branches.
When taking an order from a customer for a part which is not in stock, the user may display
stock at other companies. If stock is available from another company then the user should put
the part at status 'I' on the parts page of the WIP. Having entered this status, the system will put
the cursor at the bottom of the parts page and prompt for a supplier code. This should be a predefined Purchase Ledger account for that branch. Having entered the account number, the
user may take a deposit from the customer in the normal manner.
The process of holding the WIP on the system with a part at status 'I' will automatically create a
WIP in the company that you have made the request on, with the part number and quantity that
you ordered. It is the responsibility of the branch that you make the request on to process the
WIP. When they eventually select the goods, they should produce a requisition. This will have
the effect of de-carding their stock and producing a delivery document. This document should
be used by the receiving branch to check that all goods have been received. Only at this point
should the supplying branch raise an invoice for the goods. The process of raising an invoice
will increment the stock in the requesting company.
The goods will now be present in the requesting company, and the WIP that they were ordered
on will be updated putting the parts at status 'R'. This will reserve the parts for the customer.
When the customer comes to collect his goods the status should be changed to 'P' and an
invoice raised.
If further inter branch orders are raised during the same day, the system may append them to
the original WIP raised in the supplying branch, or alternatively raise a new WIP for each ICT
this is controlled by a POS Parameter. It is in everybody's interest that these WIP numbers are
monitored and actioned at regular intervals during the day.
If you are in a multi-company environment then the Daemon monitor will offer an 'Inter-company
stock display' daemon.
The "Inter-company stock display" daemon is designed to allow the user visibility of stock
across all stock companies on the system. This daemon should be run as well as the "Parts
daemon" if you wish to display other companies' stocks at Point-of-Sale.
When using the Point-of-Sale system to issue parts, the user will enter a part number on the
Product Details screen. If the part number is stocked in other companies, the system will
display a window showing the free stock situation in all the other companies. The initial window
display will show the part number, free stock, and physical stock. If you wish to see further
details on the required part number, you may select the chosen part number from the window,
and the system will give a summary display of that part within the other company
