Parts Point of Sale Manager - Flipbook - Page 100
Work In Progress
This report scans the work in progress file and for each department lists all jobs which currently
have outstanding work in progress i.e. parts which have been requisitioned to a job or labour
time taken which has been entered against a job and the job has not been invoiced. For each
job, the date raised, status flag, account number, customer details, customer's phone number,
parts and labour work in progress, with the respective number of lines plus total work in
progress, is shown.
It should be noted that work in progress can exist for the parts department because they can
requisition parts to a customer and not print the invoice, although this is an unusual practice, the
system will report if this has occurred. In practice it is more likely to occur the reverse way
round where a customer returns a part for a credit note but no decision has been made as to
whether to return the part to stock, as the part is awaiting inspection from the Parts Manager to
decide whether it should be returned to damaged stock, warranty returns or normal stock.
The report is produced in department/WIP number sequence. A new page is given for each
change of department, so that the report can be broken into separate sheets for each
department.
On running this report, two prompts will be offered. The first allows a number of department
codes to be entered. Up to eight departments can be selected by simply entering the first letter
of the department required e.g. 'PB' would give the parts department and bodyshop. If the
report is required for all departments, then just leave this prompt blank. A second prompt is
whether work in progress with zero value is required. In general this is not required and you
simply enter 'N' to this prompt.
This report can appear as part of the end of day run and may be run with the default prompts of
all departments and zero work in progress records suppressed. It is advisable that this report
should be run weekly or daily, as it is the prime means of determining what is available to
invoice from work in progress, and often highlights mistakes.
