Expense Codes
Introduction
The Autoline standard Nominal Ledger Account Code consists of two components, the four digit Cost Centre code
and the Expense Code. The Expense Code may be set to four, six or even eight digits, depending on the
company9s requirements.
The Expense Code is the second half of the nominal code on the Autoline system. It is used to give a full
breakdown of the P&L and Balance Sheet items.
Cost Centres and Expense Codes are maintained separately on the system but must be formally linked together
to create a valid Nominal Ledger Account Code.
When completing the set up of a new Expense Code, using the Expense Group, the system prompts to Create
Valid Accounts. Accepting this prompt uses a system table, Account Inclusion/Exclusion, to generate valid
Nominal Ledger Account Codes. The Account Inclusion/Exclusion table is held on the System Maintenance
Menu. This table effectively supports the logic of the Nominal Ledger Chart of Accounts. When creating a new
Expense Code the system can automatically generate valid Nominal Ledger Account Codes and perform the
required linking, removing the need to manually carry out this step.
