Introduction to the Nominal Ledger and Associa - Flipbook - Page 152
Warranty S.B.I.
Introduction
In the absence of a direct link with the manufacturer for warranty purposes, the following is a suggested method
of handling the warranty paperwork.
1. A Sales Ledger record should be opened for each manufacturer warranty account – as standard W9999 will be
on the system – as a 8W9 account type and a nominal control of 0100 9308. The VAT code should be 8O9 for
outside the scope.
2. POS should invoice all warranty work to the Sales Ledger Account by Franchise. No VAT should be charged
from POS, the VAT code on the Sales Ledger account should handle this.
3. The claims should be submitted to the manufacturer using the prescribed MSS system.
4. The SBI from the manufacturer should be treated as follows:
A zero value cash posting to the Sales Ledger Warranty Account, then each individual invoice should be marked
as fully paid 8X9 or part paid 8P9 and the difference analysed to the Warranty Clearing Account 0100 9309.
The analyse facility is also relevant to handle any write off or overpayments.
The SBI should then be processed through Batch Input to a Sales Ledger Account as an invoice or onto a
Purchase Ledger Account as a credit note. (This depends on the method of payment by the manufacturer).
The VAT is extracted at this time and the net value of the document should be posted to the Warranty Clearing
Account 0100 9309 to clear the value from the Sales Ledger posting, as detailed above.
The money received is then posted against the SBI on either the Sales or Purchase Ledger as appropriate.
