Introduction to the Nominal Ledger and Associa - Flipbook - Page 101
What shall I do if there is a variance appearing on the report?
There are some general actions that can be taken if there is a variance in an account and these are listed below.
If there are a number of variances on the reconciliation report, it is worth checking on the end of day/timed
operations that both the vehicle recalculation and the vehicle reconciliation were successfully completed.
The accounts postings for the vehicle should be checked to ensure that there are no nominal ledger journals that
have been done to affect the relevant accounts.
The end of day/timed operations should be checked to ensure there are no withheld daybooks – this can also be
checked in the View Posting buffer option in the nominal ledger.
There may also be a variance on one account and the opposite variance for the same vehicle on the same
account but a different cost centre if there is more than one location in the company. This usually happens when
costs have been added when the vehicle was at one location and the vehicle has now changed locations. The
vehicle and posting should be checked. In some circumstances it may be necessary to journal using the Control
Account Journal option – but you should check with Software Support that this is the correct course of action.
In some instances where there is a divisional/global nominal and multiple Vehicle Stockbook companies, vehicles
from one company may appear on another company9s reconciliation. This is normally due to an incorrect location
on a vehicle in one of the companies concerned – an ad-hoc enquiry in the new or used vehicle stock file listing
LOCN BUYLOCN and possibly SELLLOCN and excluding the correct locations should advise which vehicle is
incorrect.
The easiest way to check postings on a vehicle is to run the Vehicle Transaction Locator report in the nominal
ledger – this is either under reports and enquiries or on Revision 8 will need to be run through Report Generator
and is report K25.
As well as the general actions that can be taken to check variances on the report, there are also specific points to
check for some of the accounts.
